General Summary:  The Tenant Coordinator (Coordinator) is responsible for assisting the Tenant Delivery Manager to maintain project data on assigned projects in order to facilitate and expedite tenant openings.  Duties may include, but not limited to, abstracting tenant leases, preparing spread sheets, assisting with contract preparation, assisting with project reporting and tracking incoming documentation for review and approval.

Essential Job Functions:

  • Review and understand lease documents for the purposes of abstracting leases
  • Maintain Tenant Project Data spreadsheet to track milestones, critical dates and progress
  • Prepare and distribute required Letters of Authorization for permitting
  • Assist Tenant Delivery Manager with preparation for contract documentation
  • Assist with collection of data from Tenants related to lease milestones
  • Receive design documents, distribute for review and process documents once approved
  • Track and document open permit status for assigned projects
  • Receive and track required documentation for pay applications
  • Receive and track required information for Tenant Improvement Allowance close out
  • Process permit, wastewater, utility and other fees required
  • Attend meetings as required
  • Assist with providing lease milestone data for legal, property management and accounting
  • Utilize Property Management software MRI
  •  Submit check requests
  • Process contract requests
  • Other duties as assigned

Essential Qualifications

  • Minimum three (3) years tenant coordination or project coordinator experience
  • Possess general knowledge of permitting
  • Strong experience in data management with proven successful results
  • Excellent written and verbal communication skills
  • Ability to multitask and prioritize multiple demands
  • Work successfully with a company culture that promotes accountability and action
  • Proven ability to be a self-starter and work independently under pressure and with minimal supervision
  • Detail oriented with excellent organizational skills
  • Exceptional relationship skills, able to successfully communicate at a wide range of levels within a diverse organization
  • Ability to work independently, exercise good judgment, and be resourceful
  • Ability to successfully manage cross functional relationships while ensuring accountability for deadlines and commitments
